Yelp response templates

Yelp has its own physics. Its recommendation software filters a large share of reviews into “not recommended,” its user base skews toward experienced reviewers who notice canned replies, and Yelp explicitly warns businesses against asking customers for reviews at all. You get two response tools - public comment and direct message - and choosing the right one matters: public comments are for future readers, DMs are for actually resolving things. Never DM angry, and never use the DM to argue.

The templates

Replace every [BRACKETED_PLACEHOLDER] with your specifics before posting - an unedited template is worse than no response.

Public comment on a negative Yelp review

Hi [CUSTOMER_NAME], thanks for the detailed write-up - Yelpers who explain the “why” give us something we can actually act on. You're right about [SPECIFIC_ISSUE], and here's what changed since your visit: [CONCRETE_CHANGE].

I've also sent you a direct message so we can sort out your specific experience. For anyone else reading: this isn't the visit we aim for, and the fix is already in place. - [YOUR_NAME], [ROLE], [BUSINESS_NAME]

Direct message to pair with a public comment

Hi [CUSTOMER_NAME], [YOUR_NAME] here, [ROLE] at [BUSINESS_NAME] - following up privately on your review. I don't want to hash out details in the comments, but I do want to make this right.

Could you share [ONE_SPECIFIC_QUESTION, e.g. “the date you came in”] so I can look up what happened? You can also reach me directly at [EMAIL] or [PHONE] if that's easier. No strings attached to your review either way - that stays entirely your call.

Public comment on a positive Yelp review

[CUSTOMER_NAME], thank you - a review this specific is gold. You nailed exactly what we try to do with [THING_THEY_PRAISED], and [EMPLOYEE_NAME] will be thrilled to be named.

Since you mentioned [DETAIL], a tip for your next visit: [ONE_USEFUL_INSIDER_NOTE]. See you then. - [YOUR_NAME], [BUSINESS_NAME]

Review you can't verify (no record, vague details)

Hi [REVIEWER_NAME], we've searched our records and can't match this review to a visit - no [BOOKING/ORDER] under this name, and the details don't line up with [FACTUAL_POINT, e.g. “our menu that week”]. It's possible it was meant for another business.

If you did visit us, please message us or email [EMAIL] with the date and we'll dig in properly. We respond to every genuine concern. - [YOUR_NAME], [ROLE], [BUSINESS_NAME]

Do

  • Respond publicly and DM in parallel on serious complaints - the comment is for readers, the DM is for resolution.
  • Mention concrete changes in public comments; Yelp readers are unusually alert to boilerplate.
  • Check your “not recommended” section monthly - filtered reviews can resurface as the algorithm re-scores.
  • Claim and fully complete your business page; response options and credibility both depend on it.

Don't

  • Don't ask customers for Yelp reviews - Yelp explicitly penalizes solicited reviews, unlike Google.
  • Don't respond to filtered “not recommended” reviews publicly; they're invisible to most users and a reply elevates them.
  • Don't argue in DMs - screenshots of private messages end up in review updates.
  • Don't mention Yelp's filter or accuse Yelp of hiding reviews in your public replies; it reads as sour grapes.
