Positive review response templates
Positive reviews deserve more than “Thanks for the kind words!” - partly because the reviewer took real time, and partly because your replies are marketing copy read by every future customer. The rule: reflect one specific detail back, add one thing the reader didn't know, and keep it shorter than the review itself. Skip the exclamation-point pileup. Use these as drafts and always swap in the specifics.
The templates
Replace every [BRACKETED_PLACEHOLDER] with your specifics before posting - an unedited template is worse than no response.
Detailed 5-star that names an employee
[CUSTOMER_NAME], thank you - this made [EMPLOYEE_NAME]'s week. I read it aloud at our [TEAM_MEETING/SHIFT_CHANGE] because it's exactly the standard we hire for. You also gave us a useful detail: [SPECIFIC_THING_THEY_PRAISED] is something we've been working on deliberately, and it's good to hear it landing. Hope to see you again soon. - [YOUR_NAME], [ROLE], [BUSINESS_NAME]
Short 5-star (“Great!”, no detail)
Thanks, [CUSTOMER_NAME] - short and sweet works for us. If there was one thing that stood out, we'd love to hear it next visit; it helps us know what to protect as we grow. See you again at [BUSINESS_NAME].
4-star with a minor gripe
Thanks for this, [CUSTOMER_NAME] - and for being specific about the missing star. You're right about [MINOR_ISSUE]; we've [SMALL_FIX_OR_PLAN], and I'd rather earn the fifth star than argue for it. Glad the [THING_THEY_LIKED] hit the mark. Hope we see you back. - [YOUR_NAME], [ROLE]
The long-time regular finally writes a review
[CUSTOMER_NAME], after [NUMBER] years of visits this means more than a first-timer's five stars - you've seen us on our good days and our rough ones. Thank you for putting it in writing. [PERSONAL_DETAIL - e.g. “Your usual table will be waiting Thursday.”] - [YOUR_NAME], [BUSINESS_NAME]
5-star that names a specific product or service
Thank you, [CUSTOMER_NAME]! Glad the [SPECIFIC_PRODUCT_OR_SERVICE] worked out - for anyone reading along, that's [ONE_SENTENCE_OF_USEFUL_CONTEXT, e.g. availability, how to book, what it includes]. We appreciate you spelling out the details; it helps other people find exactly what you found. - [YOUR_NAME], [BUSINESS_NAME]
Do
- Mention the specific dish, service, or employee the reviewer named - it proves a human read it.
- Use the reply to add one useful fact for future readers (hours, how to book, what's new).
- Respond to positives within a week; they're cheap goodwill and light SEO signal.
- Vary your openers - your response column is read top to bottom.
Don't
- Don't stuff keywords or your city name unnaturally into every reply; it reads as SEO desperation.
- Don't offer discounts as a thank-you in public replies - it looks like paying for reviews.
- Don't write a reply longer than the review.
- Don't confirm sensitive details a reviewer volunteered (health, legal, financial) - even in thanks.
