Review threat de-escalation templates
A review threat is a negotiation where the other side thinks your rating is the hostage. The principle that keeps you safe: solve legitimate problems on their merits, never in exchange for review behavior. The moment compensation is conditioned on a review - posting one, deleting one, changing one - you've broken platform rules, possibly FTC rules, and taught the customer the threat works. These scripts separate the real complaint (fix it) from the leverage play (decline it, in writing).
The templates
Replace every [BRACKETED_PLACEHOLDER] with your specifics before posting - an unedited template is worse than no response.
“I'll leave a bad review unless you comp this” (in person or email)
[CUSTOMER_NAME], I want to fix what went wrong with [ISSUE] regardless of what you decide to post - those two things aren't connected for us. Here's what I can do about the problem itself: [REMEDY_ON_THE_MERITS]. That offer stands whether you review us or not. What I can't do is trade refunds or freebies for review activity - that's against [PLATFORM]'s rules and ours, and it wouldn't be fair to customers who don't ask that way. - [YOUR_NAME], [ROLE], [BUSINESS_NAME]
Refund demanded after the bad review posted
Hi [CUSTOMER_NAME], I've read your review and your message. Let's deal with the substance first: [ISSUE_SUMMARY]. Based on our records, [WHAT_YOU_FOUND], and here's what we'll do: [REMEDY_OR_REASONED_DECLINE]. To be transparent: this decision is based on the facts of the visit, not on the review, and we don't offer compensation in exchange for editing or removing reviews. If our remedy changes your view of us, updating your review is entirely your call. - [YOUR_NAME], [ROLE]
Pay-to-remove extortion from a stranger (no real transaction)
We have no record of any customer interaction matching this review, and the account behind it contacted us demanding payment to remove it. We don't pay for review removal - ever. This review has been reported to [PLATFORM] as a policy violation and the demand has been documented. If you are a genuine customer with a genuine concern, contact [EMAIL] and we will take it seriously. - [YOUR_NAME], [ROLE], [BUSINESS_NAME] [Internal note - not part of the reply: preserve the messages, report to the platform's extortion/spam channel, and consider reporting to the FTC and IC3 if demands continue.]
Threat of legal action plus a bad review
[CUSTOMER_NAME], I've received your message. Because you've raised the possibility of legal action, I need to keep this factual and in writing. We take the underlying issue - [ISSUE] - seriously, and here is our position: [ONE_OR_TWO_SENTENCE_FACTUAL_POSITION]. If you'd like to resolve this directly, I'm available at [EMAIL]. If you proceed formally, our [INSURER/COUNSEL] will respond through the proper channel. We won't be discussing the dispute further in the review thread, and we wish you well either way. - [YOUR_NAME], [ROLE], [BUSINESS_NAME]
Do
- Split every threat into two tracks: the complaint (handle on merits) and the leverage (decline explicitly).
- Move the conversation to writing - email, not phone - the moment a threat appears.
- Document everything: screenshots, timestamps, names. Extortion reports live or die on records.
- Report actual extortion to the platform, and to the FTC/IC3 if there's a payment demand.
Don't
- Don't pay, comp, or refund in exchange for review removal or editing - once, and it never stops.
- Don't put “we'll take care of you if you take the review down” in writing. That sentence gets screenshotted.
- Don't threaten back (“we'll sue for defamation”) in the public reply - say less, document more.
- Don't assume a threat means the complaint is fake; plenty of real grievances arrive with bad tactics.
